What the service is
Just Say When ("JSW", "we") provides staff scheduling software for healthcare teams: schedule building and publishing, time-off requests, shift swaps, calendar feeds, and payroll exports. Your organization's accounts are provisioned during onboarding; by using an account, you agree to these terms.
Acceptable use
- Never enter patient information. No patient names, identifiers, or clinical details — anywhere, including free-text notes and shift labels. JSW schedules staff, not patients, and the service is designed and operated on the basis that it holds no protected health information.
- Use your own account; don't share credentials or attempt to access another organization's data.
- No attempts to probe, overload, or disrupt the service. (Coordinated security review is welcome — contact us first.)
Your data
The schedules, staffing records, and requests your organization enters remain your organization's data. Managers can export it to Excel/CSV at any time, and we delete it on request when an organization leaves. How we handle personal data is covered by the Privacy Policy.
Service availability
We work to keep JSW available and fast, and we publish honest status information when something breaks. The service is provided "as is," without a formal SLA at this stage; scheduled maintenance and updates may briefly interrupt availability. Published schedules remain exportable and calendar feeds are cache-friendly precisely so that a brief outage never strands a shift.
Accounts & termination
Your organization's admin controls who has an account; archiving a staff member ends their access immediately. We may suspend accounts that violate these terms — with notice to your organization's admin, except where abuse requires immediate action.
Liability
To the maximum extent permitted by law, JSW is not liable for indirect or consequential damages, and our total liability is limited to the amounts paid by your organization for the service in the twelve months before a claim. Nothing here limits liability that cannot lawfully be limited. The schedule your managers publish remains your organization's operational responsibility.
Changes
If these terms change materially, we'll update the effective date above and notify active organizations. Continued use after notice is acceptance.
Governing law
These terms are governed by the laws of the State of Florida, and disputes belong to the state or federal courts located there.
